How to Set Up a WhatsApp Community for Your Polo Club

Guides4 min readBest practices

Most polo clubs already run on WhatsApp, and most of those chats are chaos. This guide shows how to set up a WhatsApp Community for your barn, your teams and your regional circuit, so announcements get read and tournaments stay organized. It is based on how the Pacific Northwest circuit does it.

Step 1: Start with a WhatsApp Community

A Community holds all of your club's groups under one roof. It comes with an Announcements channel built in, and every member is in it automatically.

  • Announcements: read-only. Admins post, every member receives.
  • Groups: where conversation happens. Members join the ones that fit them.

Step 2: Keep your admins few

Your Community admins are the only people who can post in Announcements. Usually that is two roles:

  • Barn manager: runs the barn and owns the channel.
  • Scheduler: whoever is in charge of the schedule.

Everyone else reads. That is what keeps every announcement worth opening.

Step 3: Make a group for every audience

  • Each membership tier gets its own group.
  • The middle school team gets its own interscholastic group.
  • The high school team gets its own interscholastic group.

Why? So you can make an announcement to just the people it is for.

Step 4: Turn the General Chat into your barn forum

Everyone joins. It is for discussion, not announcements.

I left my whip by the arena. Can someone put it in my tack room?

Found gloves by the wash rack. Whose are these?

Quick check: is Saturday's practice still at 10?

Selling a helmet, size M, barely worn. DM me.

Step 5: Build a circuit-wide community

It is separate from your barn community. Every player on the circuit joins, so everyone gets its announcements.

  • Barn community: members, tier groups, school teams, General Chat.
  • Circuit community: every player in the region, plus all tournament groups.

How we do it in the Pacific Northwest: one circuit-wide WhatsApp Community. Tournament groups are created there, not in each barn's community.

Tournament groups live in the circuit community, not the barn's.

Tournament groups live at the circuit level

Visiting players are not barn members. Each tournament gets its own group in the circuit community, never in your barn's.

  1. Create it in the circuit community.
  2. Add everyone playing, visitors included.
  3. Run all tournament comms there.
  4. Delete it when the season wraps.

Your barn community stays for members only.

When another club hosts

Say Myopia Polo Club is hosting a tournament, and you are the admin of the regional community. There are two ways to set it up:

  • Option A, you create it: create the tournament group, then make Myopia's rep an admin of that group only, not the whole community.
  • Option B, they create it: Myopia creates the group and requests to add it to the community. You approve.

Either way, the host's rep adds everyone playing.

Start every season with a clean slate

  • Each tournament: an admin creates the group and makes whoever is running the tournament its admin.
  • During the event: the tournament admin adds players and runs comms in that group.
  • End of season: delete every tournament group. Next season starts fresh.

Your checklist

  1. Create a WhatsApp Community for your barn
  2. Barn manager and scheduler are the only admins
  3. One group per membership tier
  4. Separate middle school and high school groups
  5. A General Chat everyone joins
  6. A circuit-wide community for the region
  7. Tournament groups live in the circuit community
  8. Delete tournament groups at season end

Send this to your barn manager.

Common questions about WhatsApp for polo clubs

What is a WhatsApp Community, and why use one for a polo club?

A Community holds all of your club's groups in one place and includes an Announcements channel that every member receives automatically. Only admins can post there, so important notices do not get buried in chatter.

Who should be admins?

Keep admins few. Usually that is the barn manager and whoever is in charge of the schedule.

How do I organize groups for a polo club?

Give each membership tier its own group, give the middle school and high school teams their own interscholastic groups, and add one General Chat that every member joins for discussion.

Where should tournament groups be created?

In a circuit-level community, not your barn's. Visiting players are not barn members, so the tournament group lives at the circuit level and your barn community stays members only.

What do I do with tournament groups after the season?

Delete them. That keeps your WhatsApp feed clean and gives you a fresh start next season.

Running a tournament this season?

Collect sign-ups and payments in one place, then share updates in your tournament group.
